Overlapping Schedules: Managing Availability Across Different Date Ranges
Overlapping schedules allow you to add temporary time slots on top of your existing schedule without needing to rebuild it from scratch. This makes it easy to adapt your offer for seasonal demand or special events while keeping your base schedule unchanged.
How it works
Two schedules can overlap in their date ranges as long as they differ in at least one of the following: start days or start times. If two schedules share the same date range, the same start days, and the same start time, the system will not allow you to save them.
Example 1: Adding weekend departures during a month
Your activity normally runs Monday to Friday throughout the season. In August, demand is high, so you want to add Saturday and Sunday departures, but only for that month.
| Schedule Name | Date Range | Days of the Week | Start Time | Price |
| Basic Schedule | June 1 - September 30 | Monday - Friday | 10:00 | €45 per adult |
| August Weekends | August 1 - August 31 | Saturday - Sunday | 10:00 |
€60 per adult |
The Basic Schedule covers your regular weekday departures. August Weekends adds weekend availability only during August. Because the days differ, both schedules run in parallel during August without conflict.
Example 2: Adding an extra start time for a specific date range
You offer a 10:00 departure all season, but during August you also want to add an afternoon departure at 14:00 to meet higher demand.
| Schedule Name | Date Range | Days of the Week | Start Time | Price |
| Basic Schedule | June 1 - September 30 | Monday - Friday | 10:00 | €45 per adult |
| August Start Times | August 1 - August 31 | Monday - Friday | 14:00 |
€45 per adult |
Because the start times differ, both schedules overlap during August. Your guest will therefore see two available departures (10:00 and 14:00) throughout that month, while before and after August, only the 10:00 departure is available.
Example 3: An earlier start time during a festival week
You offer a 10:00 departure all season, but during a local festival in the first week of September you want to add an earlier 08:00 departure to accommodate a different itinerary.
| Schedule Name | Date Range | Days of the Week | Start Time | Price |
| Basic Schedule | June 1 - September 30 | Monday - Friday | 10:00 | €45 per adult |
| Festival week | September 1 - September 7 | Monday - Friday | 8:00 | €45 per adult |
During the festival week, guests will see both the 08:00 and 10:00 departures available. From 8 September onwards, only the regular 10:00 departure from Basic Schedule resumes.
What to keep in mind
- Two schedules can overlap in their date range only if they differ in start time and/ or start day.
- It is not possible to create two schedules with overlapping dates that also share the start time and start days (the system will not allow it).
- Overlapping periods are best used for adding start times during specific periods, not for adjusting prices on existing time slots. For seasonal price changes, use separate non-overlapping schedules instead.
- Overlapping periods work within a single option. If you have multiple options set up, each manages its own schedules independently.
- Always double-check the calendar on the right side after setting up overlapping schedules to make sure availability appears as expected. Make sure to save.
